Privacy Policy
How LimOperations collects, uses, shares, retains, and protects information processed through the platform.
Last updated
October 18, 2026
This policy explains the categories of information processed through LimOperations, how that information is used in the platform, when it may be disclosed, and what responsibilities remain with the transportation company using the Service.
Solutions LimOperations Inc. is responsible for the processing it carries out under applicable law. For privacy questions, access or correction requests, or complaints, contact our privacy contact at contact@limoperations.com. Where we process records on a transportation business’s behalf, we will assist or direct your request to the responsible business as appropriate.
Privacy overview
- Data is processed to operate bookings, dispatch, portals, billing, support, and security workflows.
- A business's data is never sold or made available to its competitors on the platform. We do not currently sell personal information from customer records, and we will tell you in advance if how it is shared ever changes.
- Transportation companies control their customer data, permissions, notices, and consent obligations.
- Information may be shared with service providers and when required for legal, security, or business continuity reasons.
- Individuals may have privacy rights, but many requests should first go to the company managing the relationship.
1. Scope of this policy
This Privacy Policy explains how LimOperations collects, uses, stores, discloses, and protects information processed through the LimOperations platform, including its booking tools, client and driver portals, dispatch workflows, reports, communications features, and related support services.
This policy applies to information processed when companies, staff users, drivers, clients, passengers, affiliates, and other authorized users interact with the Service. It does not govern third-party websites, applications, processors, or services that may integrate with the platform or be linked from it.
2. Confidentiality and how we protect your data
We treat non-public operational records as confidential and restrict access according to the Service’s account roles, sharing features and the purposes described in this Policy. These records include bookings, client and driver details, vehicle records, pricing, invoices, reports and communications.
Customers may deliberately share records with affiliates, invited users, recipients of shared links or connected services. Drivers working with several businesses may have profile information and location visible to those linked businesses. Confidentiality does not mean that information is hidden from recipients authorized by these workflows.
A business's data is never sold, shared or made available to its competitors or to any other business on the platform. Each company's information is kept separate, and no other customer can see it unless the company itself chooses to share it, for example through an affiliate transfer.
We do not currently sell, rent or trade personal information from Customer operational records, and we do not use those records to build advertising audiences for us or third parties. If we ever change how personal information is shared in a way that affects you, we will tell you in advance, and you will be able to export your data and close your account before the change takes effect. Optional measurement of our own public-website advertising is described separately in section 13A and the Cookie Policy.
Personal information is disclosed only for the purposes and on the bases described in this Policy or otherwise lawfully communicated to the individual. Publishing a revised policy does not, by itself, authorize a new use of information previously collected or release us from existing commitments.
3. Information we collect
We may collect account and identity information such as names, business names, email addresses, phone numbers, user roles, billing contacts, client identifiers, and other profile data required to create and manage accounts.
We may also collect operational and reservation data entered into the Service, including booking details, pickup and destination addresses, trip schedules, service preferences, vehicle assignments, chauffeur assignments, affiliate transfer details, pricing, invoices, notes, and internal workflow records.
Depending on how your company uses the Service, we may process client and passenger details, driver details, vehicle details, communication history, uploaded files, support requests, device and browser information, IP-based security signals, and event logs relating to account activity.
Driver location information. If a driver switches on location sharing in the LimOperations Driver app or the website, we collect the precise location of the driver’s device (latitude, longitude, the speed the device measures, and time) while sharing is on, including while the app is in the background or the phone is locked. We also record each position as part of a short location history (a “path”). We do not collect location when sharing is off.
4. How we collect information
We collect information directly from your company and its authorized users when records are created, forms are submitted, accounts are activated, data is imported, support requests are made, or workflows are completed inside the Service.
We also collect certain information automatically through normal platform operation, such as authentication events, session activity, usage logs, technical diagnostics, and system telemetry used for reliability, security, troubleshooting, and product performance.
5. How we use information
We use information to provide, maintain, support, secure, and improve the Service. This includes authenticating users, organizing bookings, assigning drivers and vehicles, generating invoices, displaying reservation history, routing users to the correct company context, and operating customer-requested workflows.
We may also use information to communicate about accounts, service changes, support issues, billing matters, policy updates, fraud prevention, abuse detection, suspicious activity, legal compliance, backup and recovery, dispute resolution, and internal service analytics.
The purposes described here do not grant unrestricted rights to use personal information for unrelated commercial activities.
We do not use customer data to build advertising audiences or permit third parties to use customer data for their own independent marketing purposes, except where your company separately directs or authorizes an integration or disclosure.
We use driver location information only to let the transportation company that the driver works with see where its drivers and vehicles are, for dispatching, customer service, and the safety of its operations. We do not use it for advertising and we do not sell it.
6. Customer control and role-based visibility
LimOperations is designed to support company-specific data separation. Information entered under one company account is intended to be visible only within that company's authorized environment, subject to the permissions, roles, and workflows configured for that company.
Account owners and administrators are responsible for determining who may access client, driver, booking, and billing information within their organization and for removing or updating access when roles change.
When a company activates a client or driver account, that user may be able to view information associated with their permitted identity and portal access, including records connected to the account owner's current configuration.
For customer data submitted by a transportation company, LimOperations generally acts as a service provider or processor on that company’s documented instructions, while the company determines the purposes and means of its own customer, passenger, driver, and workforce data. This allocation may vary where applicable law requires a different role.
Driver location information is visible to the owner and dispatchers of each business a driver is linked to, and to the driver. It is not visible to passengers or clients.
7. Customer obligations and sensitive information
Your company is responsible for providing all required notices, establishing a valid legal basis for collection and use, obtaining any required consents, and responding to individuals in connection with the data your company submits to the Service. You must ensure that your instructions to LimOperations are lawful and that the data is accurate, relevant, and appropriate for the intended workflow.
Submit only information reasonably necessary for the relevant workflow. Supported driver profile fields may include an address and driving-licence number; these and precise location require particular care. Do not place payment-card numbers, unrelated government identifiers, health records or biometric data in notes, uploads or other fields not expressly designed for them. Customers must establish the lawful need for sensitive information and any required consent before submitting it.
You are responsible for your users’ communications, uploaded content, third-party integrations, and any sharing of information with drivers, passengers, affiliates, payment providers, or other recipients selected by your company.
Driver location. Your company decides whether and how to use driver location sharing, and is responsible for informing its drivers before they are tracked, for having a lawful basis and any required consent, for using location only for legitimate business purposes and during working time, and for responding to drivers’ requests about their information. You must not use the feature to track people covertly or outside the work they have agreed to share.
8. Sharing and disclosure
We engage hosting, database, storage, communications, payment, security and other service providers to perform defined functions for the Service. We limit disclosure to information needed for those functions and apply contractual or other safeguards appropriate to the relationship and applicable law. A provider’s independent processing, where applicable, is subject to its own notices and the applicable legal requirements.
We disclose information to recipients selected through authorized workflows, such as a business’s staff, an affiliate receiving a booking, a recipient of a shared link, or an integration chosen by the Customer. Customers must assess their authority to make these disclosures and the information included before initiating them.
We may preserve or disclose information where permitted or required by law to respond to valid legal process, comply with a statutory obligation, investigate fraud or security incidents, or establish, exercise or defend legal claims. A request from a third party or public authority does not, on its own, create an unrestricted entitlement to Customer Data.
For a proposed or completed merger, acquisition, financing, reorganization or transfer of a business, we may disclose information only to the extent necessary and legally permitted. Applicable safeguards include restricted access, confidentiality and purpose limitations, and return or destruction if the transaction does not proceed. A successor must respect applicable privacy obligations and existing restrictions; affected individuals will receive notice and be asked for consent where required. This provision does not authorize an unrestricted sale of a personal-information database.
Driver location information is processed by our hosting and database providers on our behalf. Map services, including OpenStreetMap-based map providers, may receive the viewer’s network address and requested map area. Opening coordinates or a route in Google Maps sends the selected coordinates or addresses to Google. These external services process information under their own terms and privacy notices.
9. Payments and financial information
Payments for LimOperations subscriptions and message credits are handled through our payment processor. We receive billing contact information, subscription and transaction identifiers, payment status and related accounting metadata. Payment-card entry is handled by the processor; do not enter full card details into ordinary Service fields.
Passenger fares and payments are managed by the transportation business, not collected or settled by LimOperations on its behalf. A business may add its own external payment link and record payment status in the Service. Information supplied on an external payment page is governed by that provider’s and the business’s privacy practices.
10. Retention
We retain information for as long as reasonably necessary to provide the Service, maintain account continuity, preserve audit history, meet legal obligations, enforce agreements, resolve disputes, improve security, and support legitimate backup and recovery practices.
Retention periods can vary depending on the type of data, the state of the account, whether records are tied to bookings, invoices, audits, security logs, or legal obligations, and whether a deletion or export request has been made.
When an account is closed, we may retain certain information for a limited period where necessary for compliance, fraud prevention, accounting, backup integrity, or defense of legal claims before deletion or anonymization where appropriate.
For driver location, the latest position is replaced with each update and cleared when sharing ends. The location history (path) is deleted automatically after seven (7) days, and location data is deleted when a driver deletes their account. Copies may remain in backups for a limited period, up to about twelve weeks, until they expire.
11. Security and security incidents
We use administrative, technical, and organizational measures designed to protect information against unauthorized access, loss, misuse, alteration, and disclosure. These measures may include access controls, session handling, account deactivation controls, logging, role-based restrictions, and infrastructure-level safeguards.
No system can be guaranteed to be completely secure. You are responsible for maintaining the confidentiality of your credentials, using secure devices and networks, limiting administrator access appropriately, and promptly notifying us if you suspect compromise or misuse.
If we determine that an incident affecting information under our control requires notice under applicable law or a written agreement, we will provide notice in accordance with the applicable requirements. You remain responsible for notices, investigations, and remediation relating to incidents in your own environment, accounts, users, or third-party systems unless otherwise required by law or agreed in writing.
12. International and jurisdictional considerations
LimOperations is operated by Solutions LimOperations Inc., registered in Canada. We and our service providers may process information in Canada and other countries. Information processed outside your province or country may be subject to foreign laws and lawful access by courts or authorities.
Where required, we assess cross-border processing and implement appropriate contractual and other safeguards before a transfer. Customer instructions do not waive our own legal obligations. Contact contact@limoperations.com for information about relevant processing locations and safeguards.
Customers remain responsible for requirements applicable to their own collection, disclosures and workforce relationships. Where a separate data-processing agreement or transfer arrangement is legally required, it must be established before the affected processing takes place.
13. Your choices and rights
Depending on applicable law, individuals may have rights relating to access, correction, deletion, restriction, objection, portability, or withdrawal of consent in relation to certain personal information.
Because LimOperations is generally used by transportation businesses to manage their own operational data, many privacy requests should first be directed to the company that collected the information or manages the underlying client, passenger, or driver relationship.
Where LimOperations directly handles a request that is applicable to information under our control, we may ask for identity verification, account context, or additional detail before processing that request.
We may decline, limit, or charge a legally permitted fee for requests that are manifestly unfounded, excessive, repetitive, would adversely affect another person’s rights, or cannot be verified. We will not discriminate against an individual for exercising rights available under applicable law.
Location. Drivers control location sharing with the switch in their profile and with their device’s location permission, and can switch it off at any time. Signing out also ends sharing. To ask about location data held for your business, contact the business first; you may also contact us through the support channels available in the Service.
To exercise a right or raise a concern, email contact@limoperations.com and identify the account or business concerned without sending unnecessary identity documents. We will respond within applicable statutory periods and explain any lawful refusal or extension. You may complain to the competent privacy authority; contacting the business first is not a condition of exercising a right directly against LimOperations.
13A. Website cookies and ad measurement
Our public website pages (the home page, the news, the sign-up page, the public terms and the Cookie Policy) use cookies as described in our Cookie Policy. Strictly necessary cookies are always on. The optional ones stay off until you turn them on in the cookie window: our own sign-up source cookie, and Meta's pixel that measures our own ads. We do not intentionally send names, email addresses, phone numbers or form contents to the pixel; Meta may receive an IP address, browser information, cookie identifiers and page-view or registration events and may associate them with information it already holds.
If you turn on the sign-up source and then create a business account, we save with that account the campaign tags, the referring website, the first page you opened and whether you came from a Meta ad (yes or no only), so we know which of our campaigns bring new customers.
None of this applies inside the Service, and nothing described here reads, uses, or shares the data your company keeps in LimOperations. Customer data inside LimOperations is never used for advertising, as stated in sections 2 and 5.
14. Children
The Service is intended for business and operational use and is not directed to children. We do not knowingly design the platform for direct use by children as a primary audience.
15. Changes to this policy
We may update this Policy to reflect changes in the Service, applicable law or our actual practices. The revision date identifies the current version; it does not substitute for any notice or consent required by law.
Before materially changing the purposes for which personal information is used or the parties to whom it is disclosed, we will provide clear notice and obtain fresh consent where required. We will not treat silence, a buried policy amendment or continued platform use as consent where an affirmative choice is required. Information already collected remains subject to applicable commitments and restrictions.
Optional processing remains optional. Refusing or withdrawing consent will not prevent access to unrelated features, although a feature that necessarily depends on the information may be unavailable.
